One of the Commandments You Don't Break
Every importer has a short list of mistakes that don't get forgiven — the ones that don't cause a bad day, they cause a rejected shipment, a canceled item, or a product that never goes live. Getting the barcode and the retailer setup data right belongs on that list. It's boring, it's invisible, and it's one of the top commandments of selling to retail: the barcode and the item data must be correct and consistent, everywhere, the first time.
It's unforgiving because a barcode error isn't a judgment call a buyer can overlook. A scanner either reads the right number or it doesn't. A setup form either matches the shipment or it bounces. There's no partial credit.
What a UPC Actually Is
The barcode on a retail product is a UPC (Universal Product Code) — specifically UPC-A, the 12-digit version used across North America. The number it encodes is a GTIN (Global Trade Item Number), the identifier that names your product everywhere it's sold.
That 12-digit number isn't arbitrary. It's built from three parts: a company prefix licensed to you, an item reference you assign to each product, and a check digit calculated from the rest. The company prefix is the important part — it's what ties the number to your company in the global registry.
How to Set Up With GS1
Legitimate barcodes come from one place: GS1, the global organization that administers barcode standards. In the United States you work with GS1 US (https://www.gs1us.org). The setup, in order:
- Decide how many GTINs you need. For a handful of products, GS1 US sells individual GTINs. For a growing catalog, you license a GS1 Company Prefix, which lets you create many GTINs under your own prefix. Choose based on how many distinct sellable items you'll have, with room to grow.
- Register and license through GS1 US. There's a cost to license a prefix or buy GTINs — a company prefix generally carries an initial fee plus annual renewal, and pricing scales with capacity. Check GS1 US for current numbers, and keep the license current: a lapsed prefix is a real problem.
- Assign a GTIN to each sellable product in GS1 US Data Hub, the tool where you manage your numbers and enter product data. Record each GTIN against your own item number so the two systems agree.
- Generate the barcode artwork at the correct size, with adequate quiet zones (the blank margins on either side) and print contrast — then put it in your tech pack so the factory prints it correctly.
The Basic Rules
A few rules govern how GTINs are assigned, and breaking them is how duplicates and rejections happen:
- One GTIN per distinct sellable product. Every variant — each size, color, and pack count — gets its own unique GTIN. A 2-pack and a 4-pack of the same item are two different GTINs.
- Never reuse a GTIN. A GTIN identifies one product globally; don't recycle a retired product's number onto a new one.
- A change the customer orders differently gets a new GTIN. Change the size, the count, or what's in the box, and it's a new product with a new GTIN. Minor, non-ordering changes usually don't.
- Buy from GS1, not a reseller. This is the big one. A market of resellers sells cheap individual "UPCs" left over from large prefixes issued years ago, before GS1 changed how it licenses numbers. The problem: those numbers are registered to the reseller (or the original prefix holder) in the GS1 database, not to you. When a retailer — Amazon especially — checks the GTIN against GS1 and the brand doesn't match, the item gets flagged or rejected. GS1 US now issues individual GTINs directly, so there's a legitimate low-volume option — use it. A $10 barcode can cost you the listing.
The Setup Form Is Part of the Product
A correct barcode still fails if the retailer's new-item setup form is wrong. That form — the vendor item sheet, the online item feed, the product data you submit — is your product's identity inside the retailer's system. It carries the GTIN, the description, the case pack (units per inner and master carton), the dimensions and weight, the country of origin, and more.
Every one of those fields has to match reality and match the barcode. A wrong GTIN means the item won't link to your shipment. A wrong case pack means the distribution center receives the wrong count and charges you back. Wrong dimensions or weight throw off slotting and freight. A missing required attribute means the item never publishes online. The setup form is where a perfectly good product quietly fails to exist.
Where the Mistakes Cost You
- It won't scan — a poorly printed or wrong-size barcode fails at the register or the distribution center.
- The GTIN doesn't verify — a resold or mismatched number gets rejected by Amazon or the retailer.
- The setup data doesn't match — wrong case pack, dimensions, or GTIN triggers chargebacks or a refused delivery.
- The item won't go live — a missing or malformed attribute keeps the product off the shelf or the site.
None of these are dramatic. They're just the product not selling, for a reason nobody catches until the shipment is already made.
How to Get It Right
- Get real GTINs from GS1 and register your product data in GS1 US Data Hub.
- One GTIN per sellable variant, recorded against your own item number as a single source of truth.
- Verify the barcode physically — scan a printed sample before mass production, the same way you approve a counter sample.
- Fill the retailer's setup form from your source of truth, not from memory, and proof every field against the barcode and the physical product before you submit.
The Commandment
Get the barcode and the setup data right, the first time, everywhere. It costs almost nothing and it's completely unglamorous — which is exactly why it gets rushed, and exactly why it lands on the short list of mistakes retail won't forgive.
